How do I configure, set up, or connect my desktop email client, smartphone, or mobile device (iOS, Android) to connect to the Virginia Tech Exchange server?

Office 365 Mail App (Exchange Online with a Web Browser) (Recommended)

  1. Go to my.office365.vt.edu

  2. In the Email or phone text box type: ABC@vt.edu

    (Replace ABC with your Hokies ID which is the same as your PID.)

  3. When you click or tab away from the Email or phone text box, you will see the Virginia Tech ADFS heading. In the Password text box, type your Hokies ID (Exchange) password.

    (This is different from your PID password. It is also used with ADadmin and Office 365.)

    (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

  4. Click the Sign In button.

  5. If you have previously enrolled in 2-factor authentication, follow the on-screen instructions to complete authentication with your second factor.

  6. Click the Mail icon.

  7. If you receive an error message, try clearing the browser cache by following the instructions at Clearing Browser Cache and then accessing the Office 365 Mail app, again.

Android

To avoid calendar syncing problems, 4Help recommends performing calendaring functions in the Office 365 Mail App instead of on mobile devices.

To connect to your Exchange email account, Microsoft recommends downloading the Outlook app from the Google Play store. To view details about the Outlook app or to download and install it, go to the Microsoft Outlook page.

For instructions on configuring the Outlook app to connect to your Exchange account, refer to the Microsoft Set up email on an Android phone or tablet page.

Remember to use ABC@vt.edu where ABC is replaced by your Hokies ID which is the same as your PID, and use your Hokies ID password.

iOS (iPhone, iPad)

  1. In the Apple app store, download and install the Outlook app.

  2. When the installation is finished, start the Outlook app.

  3.  Tap the Get Started button.

  4. In the Email Address text box type: ABC@vt.edu

    (Replace ABC with your Hokies ID which is the same as your PID.)

    (If an extra space character was added at the end by autocorrect, delete the extra space.)
  5. Tap the Add Account button.

  6. You will see the Virginia Tech ADFS heading. In the Hokies Password text box, type your Hokies ID (Exchange) password.

Other Clients and Mobile Devices

To avoid calendar syncing problems, 4Help recommends performing calendaring functions in the Office 365 Mail App instead of on mobile devices.

Due to the wide variety of mail clients, 4Help can only provide the most basic configuration settings. We do not guarantee that they will work with your particular device or client. However, most devices and clients do work with these settings. If you have trouble configuring your device or client using these settings, contact your mobile device service provider.

Outlook 2016 for Mac

  1. Start Outlook 2016 for Mac.

  2. If you do not see the Set Up Your Email window with Please enter your email address text box:

    1. From the Tools drop-down list, select Accounts....

      Select Accounts.

    2. In the lower-left of the window, click the plus sign (+) button.

      Click the plus sign button.

    3. From the drop-down list, select New Account....

  3. In the Please enter your email address text box, type: ABC@vt.edu

    (Replace ABC  with your Hokies ID which is the same as your PID.)

  4. Click the Continue button.

  5. You will see the Virginia Tech ADFS window. In the Hokies Password: text box, type your Hokies ID (Exchange) password.

    (This is different from your PID password. It is also used with ADadmin and Office 365.)

    (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

  6. Click the Sign In button.

  7. If you have previously enrolled in 2-factor authentication, follow the on-screen instructions to complete authentication with your second factor.

  8. Once the account has been added, click the Done button.

  9. Optionally, to set up the Virginia Tech address book:

    1. From the Tools drop-down list, select Accounts....

      Select Accounts.

    2. In the left menu column, select your Exchange account.

    3. Click the Advanced... button.

      Click the Advanced... button.

    4. Under Directory service, in the Server: text box, type: gc.w2k.vt.edu

    5. Under Directory service, place a check in the Use SSL to connect (recommended) check box.

    6. Under Directory service, place a check in the Log in with my Exchange account credentials check box.

    7. Click OK.

      Click OK.

Outlook 2016 for Windows

  1. Start Outlook.

  2. If the New Profile window appears:

    1. In the Profile Name: text box, type a name to identify this account to yourself.

    2. Click OK.

  3. Start adding a new account.

    • If this is the first time you have used Outlook, click the Next button in any introductory windows until the Add Account window appears.

    • If you already have other accounts in Outlook:

      1. Select the File tab.

        Select the File tab.

      2. Click the Add Account button.

        Click the Add Account button.
  4. In the Add Account window, under Auto Account Setup:

    1. Select the E-mail Account radio button.

    2. In the Your Name: text box, type your name as you want it to appear on messages you send.

    3. In the E-mail Address: text box, type: ABC@exchange.vt.edu

      (Replace ABC with your Hokies ID which is the same as your PID. Do not use ABC@vt.edu.)

    4. In the Password: text box, if available, type your Hokies ID (Exchange) password.

      (This is different from your PID password. It is also used with ADadmin and Office 365.)

      (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

    5. In the Retype Password: text box, if available, type your Hokies ID (Exchange) password.

      (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

    6. Click the Next button.

      Enter the appropriate information and then click the Next button.

  5. If prompted for credentials by a Windows Security window:

    1. Select Use another account.

      Select Use another account.

    2. In the User name text box, type: hokies\ABC

      (Replace ABC with your own Hokies ID, which is the same as your PID.)

    3. In the Password text box, type your Hokies ID (Exchange) password.

      (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

    4. Click OK.

      Enter your credentials and click OK.

  6. If prompted for credentials by a second Windows Security window:

    1. Select Use another account.

      Select Use another account.

    2. In the User name text box, type: hokies\ABC

      (Replace ABC with your own Hokies ID which is the same as your PID.)

    3. In the Password text box, type your Hokies ID (Exchange) password.

      (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

    4. Click OK.

      Enter your credentials and click OK.

  7. You will see the Virginia Tech ADFS window. In the first box, remove "exchange." to make it: ABC@vt.edu

    (Replace ABC with your Hokies ID which is the same as your PID.)

    (Remember to remove the extra period (.) )

  8. In the Hokies Password: text box, type your Hokies ID (Exchange) password.

    (This is different from your PID password. It is also used with ADadmin and Office 365.)

    (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

  9. Click the Sign In button.

  10. If you have previously enrolled in 2-factor authentication, follow the on-screen instructions to complete authentication with your second factor.

  11. If prompted to restart Outlook, click OK.

    Click OK.

  12. Wait while your account is configured.

  13. When configuration is complete, click the Finish button.
