VT Google Apps Mail

  1. In your browser, log on to VT Google Apps Mail. For instructions, see Checking or Viewing Your VT Google Apps Mail Email.

  2. Once logged on, under the Virginia Tech logo, in the left menu column:

    • If you see the Compose Mail link instead of the COMPOSE button, you are seeing the basic HTML version. You will automatically send all email in plain text format.

    • If you see the COMPOSE button instead of the Compose Mail link, you are seeing the standard version and should follow the instructions below.

      1. Below your name or account picture, click the Settings icon, which is represented by a gear.

        Click the Settings button.

      2. From the drop-down list, select Settings. You will be taken to the General tab.

        Select Settings.

      3. To the right of Default text style:, above This is what your body text will look like., click the Remove Formatting button, which is represented by a "T" and a small "X".

      4. To the right of Signature:

        • If a signature is selected, above the signature, click the Remove Formatting button which is represented by a "T" and a small "X".

        • If you do not want to use a signature, select the No signature radio button.

      5. Scroll to the bottom of the page.

      6. Click the Save Changes button.

WebOutlook

If WebOutlook is inaccessible, your Exchange account may have been migrated to Exchange Online; try the instructions at the Office 365 Mail App section below.

  1. Start a Web browser. Microsoft recommends using Internet Explorer for optimal performance.

  2. Go to the WebOutlook page.

  3. If prompted, log on with your Hokies ID (which is the same as your PID) and Hokies ID (Exchange) password. (If you have forgotten your password, follow the instructions at Forgot Hokies ID Password.)

  4. If you have previously enrolled in 2-factor authentication (2FA), follow the on-screen instructions to complete authentication with your second factor. (For more information and instructions on 2-factor, see the University 2-Factor Authentication Web site.)

  5. Near the top-right corner of the window, to the right of your name, click the Settings icon, which is represented by a gear.

  6. From the drop-down list, click the Options link.

    Click the gear icon in the top-right corner.

  7. In the left menu column, click the settings link.

    Click the Settings link.

  8. Under message format, from the Compose messages in this format: drop-down list, select Plain text.

  9. Click the save button at the bottom of the window.

Office 365 Mail App

  1. If your Exchange account has already been migrated to Exchange Online, log on to the Office 365 Mail App by following the instructions at Checking / Viewing Exchange Email Account with a Web Browser using Office 365 Mail App (Previously WebOutlook.

  2. Near the top-right corner of the window, to the left of your account picture and the question mark, click the Settings button, which is represented by a gear.

  3. The Settings pane will appear. Near the bottom of the Settings pane, under the Your app settings heading, click the Mail link.

  4. In the left pane, under the Layout heading, click the Message format link.

  5. Next to Compose messages in this format, from the drop-down list, select Plain text.

  6. Above the Message format heading, click the Save icon.

Outlook 2011 / 2016 for Mac

  1. Start Outlook.

  2. From the Outlook drop-down list, select Preferences....

  4. Under Format and account, clear the Compose messages in HTML by default check box. It does not matter if you are on the HTML or Plain Text tab of the Composing window.
