What Is WebEx at Virginia Tech?

WebEx is a suite of web-conferencing tools from Cisco used to host video conferences. WebEx can be used for online teaching and meetings, and WebEx is compatible with traditional IP videoconferencing. Virginia Tech's Technology-enhanced Learning and Online Strategies (TLOS) provides VT WebEx to VT faculty and staff at no cost, enabling them to host meetings and classes. Students and external collaborators can attend VT WebEx meetings and classes, but cannot create or host VT WebEx sessions. Meetings must be hosted from a computer, but attendees can join via mobile devices.

How Do I Sign Up for WebEx? 

 

Eligibility

Virginia Tech faculty, staff, and graduate assistants can create WebEx hosting accounts. Only one person in a a WebEx session (meeting or class) needs a hosting account - all other attendees, internal or external, can join using a URL the host provides. Virginia Tech students (except GAs) and external collaborators are not eligible for VT WebEx accounts. 

Signing Up

To get a VT WebEx hosting account:

  1. Go to Virginia Tech's WebEx page: https://virginiatech.webex.com.
  2. On the top navigation bar, click Meeting Center. A menu bar will appear on the left of the page. 
  3. On the left navigation bar, click Request Host Account. You will go to the account request form. 
  4. Fill in the form.
    1. You must enter your @vt.edu email address to create a WebEx account.
    2. Choose all four services: Meeting Center, Event Center, Training Center, and Support Center to ensure you have access to all WebEx services. 
    3. Click Sign Up Now
  5. You will be sent emails walking you through the rest of the steps needed to create your account.
    1. Make sure your password has between 8 and 32 characters, both upper- and lower-case letters, at least one number and one letter, and at least one special character.

How Do I Use WebEx?

Meeting Center

WebEx meeting center is designed for meetings, and has a Quick Scheduler function and user Personal Rooms, making meeting setup easy.

Quick Directions to Schedule a Meeting:

  1. Sign in to Virginia Tech WebEx at https://virginiatech.webex.com.
  2. On the top navigation bar, select Meeting Center. Then, on the left navigation bar, choose Host a Meeting and Schedule a Meeting.
  3. If you see Return to Quick Scheduler at the top of the screen, click Quick Scheduler.
  4. Enter topic, date and time, and attendees. Then click Schedule Meeting.

Quick Directions to Hold an Instant Meeting:

  1. Sign in to Virginia Tech WebEx at https://virginiatech.webex.com.
  2. On the top navigation bar, select Meeting Center. Then, on the left navigation bar, choose Host a Meeting and My Personal Room.
  3. Click Enter Room. Your Personal Room will start in WebEx. Under Invite & Remind click Copy Meeting URL. The URL of your personal room will be copied to your clipboard.
    • URLs are all in the form of "https://virginiatech.webex.com/join/[YOURPID]"
  4. Paste the URL into an email or another similar method of notifying your attendees.

IPV-WebEx Hybrid

Virginia Tech Digital Media Services (DMS) offers traditional videoconferencing for a fee to departments and individuals. WebEx Meeting Center events can connect to traditional IP videoconferencing sessions. WebEx participants are endpoints and appear in conference room display monitors. If WebEx Disconnects During a Class or Meeting

Instructors

Students

For other WebEx sessions, like meetings with your professor:

  1. Try to reconnect to the session using the same method you used (web client, app, or call-in). See WebEx - Joining a Meeting for more detailed instructions. 
  2. If you were using the client or app, attempt to use the call-in information provided with the WebEx session.
  3. If you were using the call-in service, attempt to use the client or app, if possible.
    • Some WebEx failures/outages only affect one portion of the service, allowing the other to continue.
  4. If you still cannot connect, we recommend you contact the host directly.
