4Help encourages all Virginia Tech faculty, staff, and students to create your own VT Google Group and using it for all announcement, discussion, question and answer, and general purpose mass mailing needs.

Logging on to and Viewing your VT Google Groups (for Owners and Members)

To access the VT Google Groups you are an owner or member of:

  1. To log onto your VT Google Apps account, follow the instructions at Checking or Viewing Your VT Google Apps Mail Email.

  2. In the upper-right corner of the page, click the Apps icon, which is represented by a grid of dots.

    Click the Apps icon.

  3. Click the Groups icon.

    Click the Groups icon.  

  4. Click the My groups button.

    Click the My Groups button.

Receiving Bounceback when Sending or Replying to a Google Group

By default, you cannot send or reply to a Google Group from your Exchange account, only from your VT Google Apps account. If you receive the following error message in a bounce back email, it is likely that you accidentally sent from your Exchange account:


From: "Mail Delivery Subsystem" <mailer-daemon@googlemail.com>
Subject: Delivery Status Notification (Failure)

          Hello, We're writing to let you know that the group you tried to contact (name-g) may not exist, or you may not have permission to post messages to the group. A few more details on why you weren't able to post:

          * You might have spelled or formatted the group name incorrectly.
          * The owner of the group may have removed this group.
          * You may need to join the group before receiving permission to post.
          * This group may not be open to posting.

To avoid bounceback messages:

  • Send or reply from your VT Google Apps pid@vt.edu address by using the Web browser version of VT Google Apps Mail. For instructions, see the Checking or Viewing Your VT Google Apps Mail Email page.

  • Configure your email client to send from your @vt.edu address instead of your @exchange.vt.edu address.
    • In Outlook for Windows or Mac:
      1. When composing a new email, hover the mouse cursor over the From: line. A drop-down arrow will appear.
      2. Click the drop-down list.



      3. From the drop-down list, select your @vt.edu VT Google account.



  • Ask the owner of the Google Group to:

    (For instructions on finding the owner, see Contacting an Owner of a VT Google Group.)

    1. Add your pid@exchange.vt.edu address as a member of the group. 
    2. Set your pid@exchange.vt.edu membership to the No Mail option.

      This will add both your @vt.edu and @exchange.vt.edu addresses as members of the group. You will continue to receive messages to pid@vt.edu; however, you will be able to send and reply to the group with either pid@vt.edu or pid@exchange.vt.edu.

As an Owner

Creating a VT Google Group

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. To ensure that the group you want to create doesn't already exist, use the search box to search for the name of the group.

    Use the search box to search for the name of your group.

  3. If the group does not yet exist, go back to the VT Google Groups page.

  4. Under the search box, click the CREATE GROUP button.

    Click the CREATE GROUP button.

  5. Complete the required information. For more information on the type of information requested, see Google's Set who can view, post & moderate page.

  6. Under the search box, click the CREATE button. (If nothing happened when you clicked the CREATE button, continue with these steps, because your group may have been created in the background.)

    Click the Create button.

  7. If you see the "You do not have permission to access this content" message, continue with these steps, because your group may have been created in the background.

  8. If a confirmation message appears, click the Okay button.

    Click Okay.

  9. It is highly recommended that you designate at least one other person as a co-owner of your group by following the instructions at Adding an Owner to Your VT Google Groups.

  10. Optionally, invite people to join the group as members / subscribers by following the instructions at Inviting or Adding Members or Subscribers.

  11. Optionally, adjust other settings of your group by using the links in the left menu column.

Add People to a VT Google Group

Changing Settings to Allow Adding or Inviting Non-VT Members (for Owners)

By default, group owners can only add or invite members or subscribers with a @vt.edu email address. To be able to invite or add members with non-VT email addresses:

  1. To log on to and view your VT Google Groups, follow the instructions a Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Permissions link.

  4. In the left pane, under Permissions, click the Basic permissions link.

    In the left pane, under Permissions, click the Basic permissions link.

  5. Next to Allow members external to this organization, place a check in the Allow new users not in vt.edu check box.

  6. Near the top of the page, click the Save button. You may now invite or add non-VT members by following the instructions at Inviting or Adding Members or Subscribers.

    Click the Save button.

  7. Important: You cannot add an Exchange email address as an owner or manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

Inviting or Adding Members or Subscribers (for Owners)

Inviting a member will send them an invitation to join the group and they will have the option to accept or reject the request. Directly adding a member will automatically add the member without asking their permission. You can invite an unlimited amount of people at one time, but you can only add up to 10 members at one time.

  1. Important: You cannot add an Exchange email address as an owner or manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

  2. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  3. If you will be inviting or adding members with a non- @vt.edu email address, first follow the instructions s at Changing Settings to Allow Adding or Inviting Non-VT Members.

  4. Under the link to your group, click the Manage link.

  5. Invite or add the members.

    • To invite members to your group:

      1. To expand the menu, in the left pane, click the Members link.

      2. In the left pane, under Members, click the Invite members link.

        In the left pane, under Members, click the Invite Members link.

      3. In the Enter email addresses of people to invite text box, type the email addresses of the person to invite.
        (To invite or add members without an @vt.edu email address, first follow the instructions at Changing Settings to Allow Adding or Inviting Non-VT Members.)

      4. Optionally, in the Write an invitation message text box, type a message to include with the invitation.

      5. Under the search box, click the Send invites button.

        Click the Send invites button.

    • To add members to your group:

      1. To expand the menu, in the left pane, click the Members link.

      2. In the left pane, under Members, click the Direct add members link.

        Click the Direct add members link.

      3. In the Enter email addresses to add as members text box, type the email address of the person to add.
        (To invite or add members without an @vt.edu email address, first follow the steps at Changing Settings to Allow Adding or Inviting Non-VT Members.)

      4. In the Write a welcome message text box, type a welcome message. This is required to directly add members to your group.

      5. Under Email subscription options, select how much email you want the selected members to receive from the group.

      6. Under the search box, click the Add button.

Adding an Owner to Your VT Google Groups (for Owners)

  1. Important: You cannot add an Exchange email address as an owner or manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

  2. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  3. Under your group, click the Manage link.

    Click the Manage link.

  4. To expand the menu, in the left menu column, click the Members link.

  5. In the left menu column, click the All Members link.

  6. To the left of each member that you want to be an owner, place a check in the check box.

  7. Near the top of the window, under the search box, in the middle of the buttons, click the Actions button.
  8. From the drop-down list, hover over Add to role.
  9. Select Owner.
  10. Wait while the changes are applied.

Finding or Viewing Members' Names

The ability of owners to view or see the real or full name of members or subscribers is not available in VT Google Groups. In other words, owners are only able to view the email address and any display name that the subscriber or member chose to use. Subscribers and members are not forced to enter any display name and may choose to not display any additional information other than their email address.

To view the email addresses and display name that members have chosen to show, follow the instructions at Google's View all members of a group help page.

Google does not require members to enter their real name, meaning they can choose to display their real name or a moniker, and they can change what they use as their display name at any time.

Removing or Banning Members in VT Google Groups (for Owners)

If you are the owner of a VT Google Group, you can remove members, ban members, or restrict members from posting while leaving them in the group. Removed members can re-join the group, but banned members cannot.

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Members link.

  4. In the left pane, under Members, click the All Members link.

    In the left pane, under Members, click the All Members link.

  5. Place a check in the check box(es) corresponding to the member(s) whom you want to remove, ban, or restrict posting privileges.

  6. Choose the action.

    • To remove a member:

      1. Under the search box, click the Actions button.

      2. From the Actions drop-down list, select Remove from group.

        From the Actions drop-down list, select Remove from group.

    • To ban a member:

      1. Under the search box, click the Actions button.

      2. From the Actions drop-down list, select Ban.

        From the Actions drop-down list, select Ban.

    • To restrict a member from posting:

      1. Under the search box, click the Actions button.

      2. From the Actions drop-down list, select Set posting permission.

      3. Select Override – Disallow posting.

        Select Override - Disallow posting.

Change or Manage Settings or Administer Your VT Google Group

Allow Non-Members or Anyone to Post to a Google Group

VT Google Groups can be configured so that anyone, only subscribers, only certain editors, or only the administrator can send messages. To set basic permissions:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Permissions link.

  4. In the left pane, under Permissions, click the Basic permissions link.

  5. In the Post drop-down list, select the set(s) of people you want to be able to post to this group.

    (To allow people who are not members of the group to post to this group, select Public.)

Renaming a VT Google Group

To rename or change the title or name of a VT Google Group:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. In the left menu pane, click the Information link.

  4. In the left menu pane, under Information, click the General information link.

  5. In the Group name text box, type the name of the group as you want it to appear.

  6. In the Group email address text box, type the name of the group as it appears in the Group name text box above, so that Group name and Group email address contain the same text. The group name and group email address will always have the characters "-g" added to the end.

  7. At the top of the window, click the Save button.

Changing Spam Filtering Settings (for Owners)

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Settings link.

  4. In the left pane, under Settings, click the Moderation link.

    In the left pane, under Settings, click the Moderation link.

  5. From the Spam messages drop-down list, select the option you want. To allow all messages including spam to be posted to this specific VT Google Group, select Skip the moderation queue and post to the group.

  6. Under the search box, click the Save button.

Deleting or Disabling a VT Google Group (for Owners)

Deleting a group will permanently remove it and prevent it from being found using the search box or the groups directory. Deleted groups cannot be restored. Disabling a group will freeze group activity and new posts will be rejected.

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Information link.

  4. In the left pane, under Information, click the Advanced link.

    • To disable the group:

Using a Subject Prefix in VT Google Groups (for Owners)

To add a subject prefix to all messages posted in your VT Google Group or edit an existing one:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group, click the Manage link.

    Under the link to your group, click the Manage link.

  3. To expand the menu, in the left pane, click the Settings link.

  4. In the left pane, under Settings, click the Email options link.

  5. In the Subject prefix text box, type the text that you want to appear in the subject line of all emails posted to the group.

Advanced Features

Enable Bounce Notifications

Google manages potential bounce messages with rules created by the group owner. Bounces that are not recognized by the server may be identified and follow-up actions for these bounces may be performed. By default, bounce notifications are NOT enabled. To enable them:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Settings link.
  4. In the left pane, under Settings, click the Email options link.
  5. Scroll down to the Bounced email notifications section.
  6. To the right of Bounced email notifications, place a check in the Senders will receive a summary of any recent email delivery problems check box.
  7. Under the search box, click the Save button.

Storing Files and Viewing File Archives

You can store files and pages on Google Drive and Google Sites. You can share access to either of these with your group, and, if you want, assign different permission levels for each member of the group. For instructions on how to share files, see Google's Share files from Google Drive page.

Restrict Access to Subscriber Information

Owners can limit access to information about the list subscribers to prevent address “harvesting”.

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Permissions link.
  4. In the left pane, under Permissions, click the Access permissions link
  5. In the View Member Email Addresses drop-down list, select groups you want to give access to email addresses of other members of the forum.
  6. Under the search box, click the Save button.

NoMail (Quiet Owner)

You can suspend or stop or enable email from individual VT Google Groups at any time. To suspend email updates (or to act as a quiet owner):

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. To the right of the name of the group, from the All email drop-down list, select No email.

Moderated Lists

Each type of VT Google Group can be set up to be moderated, and with a range of moderation settings. To turn on message moderation:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Settings link.
  4. In the left pane, under Settings, click the Moderation link.
  5. Select your desired settings.
  6. Under the search box, click the Save button.

Members can be given moderation duties by being assigned the role of manager, or assigned moderation permissions.

Important: You cannot add an Exchange email address as a manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

To assign the role of manager:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Roles link.
  4. In the left pane, under Roles, click the Roles link.
  5. Click the Manager link.
  6. In the Members search box, type the name of the person you want to assign manager permissions to. Names may appear in a drop-down list as you type. Select the appropriate account.

    Important: You cannot add an Exchange email address as a manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

  7. Click the Add members button.
  8. Under the search box, click the Save button.

To assign moderation permissions:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Permissions link.
  4. In the left pane, under Permissions, click the Moderation permissions link.
  5. Select your desired settings.
  6. Under the search box, click the Save button.

Size of Post Control

Group owners can set, control, and limit the size of email messages and any attachments. To do this:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Under the link to your group, click the Manage link.
  3. To expand the menu, in the left pane, click the Settings link.
  4. In the left pane, under Settings, click the Email options link.
  5. In the Max message size drop-down list, select your preferred message size.
  6. Under the search box, click the Save button.

Statistics for Your VT Google Group

To view statistics:

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.
  2. Click your group name link.
  3. Near the upper-right corner, below the gear icon, click the About link.

Super Lists and Sub Lists

In VT Google Groups, you can subscribe one group to another group. For example, you could create a large group for an entire department, and then a smaller group for a concentration within the department, and subscribe the concentration group to the department group.

As a Member / Subscriber

Subscribing to or Joining an Existing VT Google Group

To subscribe to, join, or request access to a VT Google Group, follow the instructions at Google's Find and join a group page.

When you apply for membership to a restricted or private group, the speed of the approval process depends on the owner of the VT Google Group. Contact the owner of the VT Google Group for information about the speed of their approval process.

Changing Frequency of Emails from VT Google Groups (for Members)

  1. To log on to and view your VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

  2. Under the link to your group and to the right of your name or email address, from the drop-down list, select your desired delivery setting:

    • No email: you won't receive any emails.

    • Abridged email: you will receive one summary email per day.

    • Digest email: you will receive one email for every 25 posts to the group.

    • All email: you will receive an email anytime someone posts to the group.

Unsubscribe from a VT Google Group

To stop receiving emails and completely remove yourself from a VT Google Group:

  1. Start composing a new email message.

  2. In the To: field, type: ABC-g+unsubscribe@vt.edu

  3. Replace ABC with the name of the VT Google Group.

  4. Verify that the subject and body of the message are empty.

  5. Send the email message.

  6. When you receive an email message with the subject line Unsubscribe request for ABC where ABC is the name of the VT Google Group, open that email message.

  7. Follow the instructions in the email to complete the process of unsubscribing.

To stop receiving emails from a VT Google Group and remain a member or subscriber of that VT Google Group, follow the instructions at Changing Frequency of Emails from VT Google Groups.

Contacting or Becoming an Owner of a VT Google Group

To request to be made an owner of an existing VT Google Group:

  1. Contact one of the current owners of the VT Google Group.

  2. Identify yourself, and ask that they make you an owner by following the instructions at Adding an Owner to Your VT Google Groups.

If you do not know who the owner of a VT Google Group is, send an email to: ABC-g+owner@vt.edu but replace ABC with the name of the group.

Any email sent to that email address will be received by all of the owners of that VT Google Group. The response time will vary depending on the schedule of the recipient(s), so please be patient.

Around the beginning of each semester, each class at Virginia Tech will have a VT Google Group automatically created for it. Do not use Hokie SPA (sometimes called HokieSpa) / Faculty Access to create the VT Google Group.

If there are multiple sections / CRNs of a class, each section / CRN will have a separate VT Google Group.

Name of Class VT Google Group

The name of each VT Google Group associated with a class will be: class-department-course number-CRN-term-g@vt.edu where:

  • department is replaced by the abbreviation of the department,
  • course number is replaced by the identifying course number,
  • CRN is replaced by the CRN of the class, and
  • term is replaced by the year and month of the current semester.

For example, the class for Math 1000, CRN 82123, in the fall semester of 2015 will have a VT Google Group named class-math-1000-82123-201509-g@vt.edu.

Updating and Managing Members, Subscribers, and Students

To view your class VT Google Groups, follow the instructions at Logging on to and Viewing your VT Google Groups.

The Instructor of Record will be automatically added as the owner of the VT Google Groups, and students registered for the class will be added as members / subscribers. The VT Google Group membership is updated every 6 hours, meaning that students who add the class to their schedule after the VT Google Group is initially created will be added to the VT Google Group within 6 hours.

Teaching Assistants as VT Google Group Managers

To add a teaching assistant (TA), add the person as a manager by following the instructions at Inviting or Adding Members or Subscribers.

Important: You cannot add an Exchange email address as an owner or manager of a VT Google Group. Members with an email address other than a VT Google Apps @vt.edu account will not be able to log on to, change settings, or manage VT Google Groups. This includes but is not limited to email addresses that end in @exchange.vt.edu, @vbi.vt.edu, and @cs.vt.edu.

Important: Members that are not a manager, the instructor of record, or enrolled in the class will be automatically removed and deleted from the VT Google Group.

VT Google Groups for Academic Advisors

One VT Google Group is automatically created for each academic advisor. The name of the VT Google Group will be: adv-ABC-g@vt.edu where ABC will be replaced by the advisor's PID. For example, if John Doe is an academic advisor and has a PID of jdoe, their VT Google Group will be adv-jdoe-g@vt.edu.

Students that report to the advisor, as listed in Banner, will be automatically added as members to the group, and membership will be updated every 6 hours.
