Video Content Management - Publishing and Sharing Panopto Videos as a Creator


Introduction

Panopto is Virginia Tech’s chosen video content management system and video creation tool that allows users to create, share, and manage video content easily. 

Panopto is integrated into Virginia Tech’s Canvas platform, allowing instructors to record, upload, and share videos directly within Canvas. Panopto also provides tools for organizing videos, tracking engagement, and enabling students to review content.

Instructions

Sharing Videos and Folders

When sharing individual videos, only Viewer access can be granted. Sharing edit access is best done at the folder level when collaborators will work on multiple videos, as this ensures consistent permissions and avoids issues with ownership. Viewers and Publishers can watch or share videos, but only Creators can make edits such as trimming, cutting, or updating settings.

To grant Creator, Distributor, or Publisher permissions, (1) create a subfolder, (2) move/copy the videos into a folder, and (3) add people at the folder level. 

Note that My Folder cannot be shared with other people. To create a folder to share:

  1. Create a new folder inside My Folder. See: How to Create a New Folder.

  2. Go to the new folder. 
  3. Click the Share button to pull up the folder’s sharing permissions.

  4. Under People and groups, click Change.

  5. In the Stop inheriting users and permissions pop-up, click Stop Inheriting.

  6. The folder will no longer inherit permissions from the parent folder, allowing you to add others to your folder. 
    1. The Creator role allows editing access (includes caption editing).
    2. The Distributor role allows management of sharing permissions for content.
    3. The Publisher role allows publishing access.
    4. The Viewer role allows viewing access.
    5. The Viewer With Link role allows viewing access with the video URL.

  7. Once you add people to the folder:
    1. Option 1: Type a message and click Send to notify them.

    2. Option 2: Toggle the Send an email to notify people option off, then click Save.

If you're having issues following the instructions above, keep in mind:

  • My Folder is your personal folder. You cannot add someone as a Creator to My Folder.
  • Subfolders can be created inside My Folder for sharing. Once subfolders are created, you can move, organize, or upload videos into these folders.
  • By default, subfolders will inherit permissions from the parent folder. Stop the subfolder from inheriting users and permission from My Folder in order to add people in the Creator or Distributor role.

Publishing Videos on the Internet

Videos can be shared for the entire organization or with the public. The default setting on videos restricts access to only specific people and groups, but this can be changed under a video’s sharing settings.

To share a video:

  1. Locate the video and click the Share button.

  2. If you see "Only specific people and groups" under Who can access this video, click Change.

  3. You'll see that the Restricted option is selected (this is the default setting). To change the access settings, choose from the following options:
    1. Your Organization (unlisted) - Anyone at your org who has the link
    2. Your Organization - Anyone at your org can find and access
    3. Public (unlisted) - Anyone who has the link

  4. Click Copy Link and share the link with others outside of Panopto, and then click Done to close the window.

Videos and folders can also be embedded into webpages.
